Salesforce has a special User Profile called Salesforce API Only System Integrations . This profile has some unique advantages over using standard user licenses such as:

  • Will not consume a paid Salesforce license
  • API access only to limit security exposure
  • Dedicated users for every integration for better record history auditing

This article will walk through the steps to create and configure the user in Salesforce, and how to setup the user in Salesforce.

1. Create Integration User

First we will create a new Salesforce user and assign them the Salesforce API Only System Integrations profile.

  1. Log into Salesforce as an administrator
  2. Navigate to Setup > Users > Users
  3. Click New User.
  4. Give the user a name and a valid email address
  5. Select a Username
    1. Must be unique for all Salesforce logins
  6. Assign the User License Salesforce Integration
  7. Select the Profile Salesforce API Only System Integrations
  8. Click Save
  1. An email will be set to the email address provided
  2. Click the Verify Account link in the email

2. Assign Permission Set License to User

Before we can use this user we will need to assign them an Integration License.

  1. Log into Salesforce as an administrator
  2. Navigate to Setup > Users > Users
  3. Edit the User from Step 1.
  4. From the top menu select Permission Set License Assignments > Edit Assignments
  1. Select the Salesforce API Integration license
  2. Click Save

3. Create Permission Set

Next we will create a permission set to limit the access of the Integration Account.

  1. Log into Salesforce as an administrator
  2. Navigate to Setup > Users > Permission Sets
  3. Click New
  4. Provide a Name and Description

Leave the License field as –None–

  1. In the Permission Set, navigate to System > System Permissions
  2. Assign the following permissions as required
PermissionRequired SandboxRequired Production
Modify All DataYesNo
View Roles and Role HierarchyYesYes
View Setup and ConfigurationYesYes

*Note the Modify All Data permission is required for SmartConnect to publish Apex Triggers, Classes and custom Objects to the Salesforce sandbox.

  1. Click Save
  2. Navigate to Apps > Object Settings
  3. Provide access to any objects SmartConnect will interact with. Here is an example for reading and writing to a Accounts.
  1. Click Save

4. Assign Permission Set to User

The final setup step before we can add our user to SmartConnect is to assign the permission set to the user.

  1. Log into Salesforce as an administrator
  2. Navigate to Setup > Users > Permission Sets
  3. Open the Permission Set created in Step 3.
  4. Click Manage Assignments > Add Assignment
  5. Select the Integration user created in Step 1.
  6. Click Assign and Done

5.a Configure Basic Token Authentication

If you want to use Security Token Authentication use the below steps. Because we can’t log into Salesforce as the integration account, we will need to impersonate the user to reset the Security Token.

  1. Log into Salesforce as an administrator
  2. Navigate to Setup > Users
  3. Open the User created in Step 1.
  4. Click Login to impersonate the user
  1. In the top right of the window click the username > My Settings
  1. From the left-hand navigation select Personal > Reset My Security Token > Reset Security Token
  1. A new security token will be emailed to the email address linked to the integration user. We will save this for later.
  2. Configure the Salesforce connector based on your user setting as outlined in this article .
